Privacy Policy
This policy explains how Prystine Web Solutions Ltd (“we”, “us”, “our”) collects, uses and protects your personal data when you visit prystine.co.uk, get in touch, or work with us. We keep data collection to a deliberate minimum — we don’t run advertising trackers, and we never sell your data.
We are the “data controller” for the personal data described here. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), our details are:

The information we collect
Information you give us. When you contact us, request a quote, book a consultation, enquire about a project or ask for support, we collect the details you choose to share — typically your name, email address, phone number, business name and the content of your message or brief.
Information we collect automatically. We use privacy-first, cookieless analytics (Plausible) that set no cookies and collect no personal data — see our Cookie Policy. Our servers also keep standard security logs (such as IP addresses) for a short period to protect the site and diagnose problems.
Client and hosting data. If you’re a client, we hold the information needed to deliver our services — for example account and billing details, website content you provide, and (for hosting and support customers) technical access credentials and the data on the websites we host on your behalf. Where we host or maintain a site for you, we act as a “data processor” for the personal data on that site, and you remain the controller.
How and why we use your data
We use personal data to:
- respond to your enquiries and provide quotes, proposals and consultations;
- deliver our web design, hosting, support and maintenance services, and manage our contract with you;
- handle billing, invoicing and payments;
- keep our website and the sites we host secure and working;
- send service-related messages (and, only where you’ve agreed, occasional updates you can opt out of at any time);
- meet our legal and accounting obligations.
Our lawful bases are: performance of a contract (or steps before entering one), our legitimate interests in running and securing our business, your consent where required (e.g. optional marketing), and legal obligation (e.g. keeping financial records).
Cookies and analytics
We use no advertising or cross-site tracking cookies, and our analytics are cookieless. Full details are in our Cookie Policy.
Who we share it with
We don’t sell your data or share it for advertising. We share it only with trusted service providers who help us run our business, and only as needed — for example our hosting and infrastructure providers, email and form-delivery services, our scheduling tool (Cal.com) and our quote tool (Quotify). These providers process data under our instructions and their own data-protection terms. We may also disclose data where required by law.
International transfers
Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards (such as UK “adequacy” regulations or the International Data Transfer Agreement) so your data stays protected to UK standards.
How long we keep it
We keep personal data only as long as we need it: enquiry details for as long as needed to follow up; client and billing records for the length of our relationship plus the period required by law (financial records are generally kept for six years); and security logs for a short period. We then delete or anonymise it.
Your rights
Under UK data protection law you have the right to access your data, to have it corrected or erased, to restrict or object to how we use it, and to data portability. Where we rely on consent, you can withdraw it at any time. To exercise any of these, email hello@prystine.co.uk and we’ll respond within one month.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we’d appreciate the chance to put things right first.
Keeping your data safe
We use appropriate technical and organisational measures — including encryption in transit, access controls and reputable infrastructure — to protect personal data. No system is perfectly secure, but we work hard to keep yours safe.
Other sites
Our website and emails may link to third-party sites we don’t control. This policy doesn’t cover them, so please check their own privacy policies.
Children
Our services are aimed at businesses and are not directed at children under 16. We don’t knowingly collect their data.
Changes to this policy
We may update this policy as our business and the law evolve. The date below shows the latest revision.
